PROJECT ADMINISTRATION ASSISTANT
The successful candidate will provide administrative, accounting, and organizational support to the Management Team and Project Teams. The ideal candidate must have experience in administrative and executive administrative support in order to effectively assist with the day-to-day operations of the office.
Skills and requirements
- Excellent communication skills both orally and in writing
- Excellent inter-personal skills
- Diplomacy, professionalism and tact for a wide variety of situations and personalities.
- Ability to prioritise and plan effectively
- Degree in Economics or Business Administration
- Previous experience as a Project Coordinator or equivalent role
Responsabilities
- Provide ad hoc administrative and co-ordination support to the Project Architects
- Preparation of documentation for tender submissions and project proposals
- Planning and organization of meetings and management of correspondence
- Document support to legal advisors for the preparation of contracts
- Management of accounting, accounts payable and receivable, preparation of monthly expense summaries, bank statement reconciliations, and support to the external accounting firm in the preparation of the annual financial statements.
- HR administrative activities, including document collection and handling of hiring
- Co-ordinate with IT for computer and software, upgrades & queries
- Travel booking for the team including international visas
- Check timesheets & assist with the allocation of project resourcing
- Assist in keeping the designated studio area organised
